Part-Time Front Desk Receptionist

Position Summary:
We are seeking a friendly, organized, and professional individual to join our team as a Front Desk Receptionist at our cosmetic surgery office. As the first point of contact, you will play a vital role in creating a welcoming and seamless experience for our clients, ensuring exceptional service while supporting the office’s daily operations.

Key Responsibilities:

  1. Customer Interaction:
    • Greet and welcome clients and visitors with a warm and professional demeanor.
    • Answer and direct phone calls promptly and courteously, addressing inquiries related to our cosmetic surgery procedures and services.
    • Respond to inquiries via email and phone, providing accurate information or scheduling consultations.
  1. Administrative Support:
    • Manage appointment scheduling and confirmations using the office’s booking system.
    • Maintain a tidy and organized reception area, ensuring it reflects the professional image of the practice.
    • Assist with data entry, filing, and maintaining client records in compliance with HIPAA regulations.
    • Handle incoming and outgoing mail, packages, and deliveries.
  1. Client Relations:
    • Ensure clients feel comfortable and well-informed about their visits or procedures.
    • Provide pre-appointment instructions, including any necessary paperwork.
    • Address client concerns or escalate them to the appropriate staff member or surgeon.
    • Maintain strict confidentiality and follow all protocols related to patient privacy.
  1. Operations Assistance:
    • Coordinate with clinical staff to ensure smooth transitions between appointments.
    • Support marketing efforts by sharing information about promotions or services.
    • Assist with administrative projects or tasks as needed.

Qualifications:

  • High school diploma or equivalent; additional training in office administration or healthcare is a plus.
  • Proven experience in a receptionist, customer service, or administrative role, preferably in a medical or cosmetic surgery office.
  • Proficiency in Microsoft Office Suite and familiarity with practice management software.
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail.
  • Ability to multitask and remain calm in a fast-paced environment.

Work Environment:

This position requires sitting for extended periods, occasional light lifting, and maintaining a welcoming presence for clients.

Schedule: 3-4 days per week, 7 hours a day

Salary: ($15-$17) Based on experience
